BREAK DOWN ENTERING DATA AND FORMATTING CELLS IN MS EXCEL STEP BY STEP



 1. Entering Data in Excel

  • Text Entry:
    • Click a cell and type letters, words, or numbers.
    • Press Enter to move down, or Tab to move right.
  • Numbers:
    • Type directly (e.g., 120, 45.67).
    • Can be used in calculations later.
  • Dates and Time:
    • Type 19/09/2025 or Sep 19, 2025 → Excel automatically recognizes it as a date.
    • Time can be entered like 10:30 AM.
  • Formulas:
    • Always begin with =.
    • Example: =A1+B1 adds values in cells A1 and B1.

2. Formatting Cells

Formatting makes data easier to read and understand.

  • Number Formatting:
    • Currency: Change numbers to ₦, $, €, etc.
    • Percentage: Converts 0.2525%.
    • Decimal Places: Increase or decrease decimals.
  • Text Formatting:
    • Font Style: Bold, Italic, Underline.
    • Font Size & Color: Adjust text appearance.
  • Cell Alignment:
    • Left, Center, Right alignment.
    • Top, Middle, Bottom vertical alignment.
    • Wrap Text: Keeps all text visible inside the cell.
    • Merge Cells: Combine multiple cells into one.
  • Borders & Shading:
    • Add borders for tables.
    • Use fill color to highlight cells.
  • Cell Styles:
    • Ready-made themes with colors and fonts.

Example:
If you enter
1500 in a cell and format it as Currency (₦), it will appear as ₦1,500.00.
If you type
0.75 and apply Percentage, it shows as 75%.
